Privacy Policy

1. The short version

Local Lead Closer is a tool for solo tradespeople to capture customer inquiries and reply faster. We collect the minimum amount of data needed to make that work: your account info, the leads customers submit through your public form, and basic usage data so we can keep the Service running. We don’t sell your data and we don’t use customer leads to train AI models.

3. What we collect

From you (the tradesperson)

  • Account info: name, email, password hash, all handled by Clerk on our behalf.
  • Business profile: business name, signature, and public form slug you set on the Settings page.
  • Billing info: if you upgrade to Pro, Stripe collects and stores your payment details. We only receive a customer ID, a subscription status, and the last four digits of your card.

From your customers (people who fill out your form or call you)

  • Name, phone, email, the job description they type, and any photos they attach. Photos are stored on Vercel Blob and are accessible to anyone who has the (unguessable) file link.
  • If you use Voicemail-to-Lead, calls to your business number may be recorded and the recording transcribed into text so we can create a lead from it.
  • Approximate IP address and a timestamp, used only to rate-limit abusive submissions (5 per hour per IP).

Contacts you import

  • If you upload a customer or contact list, you provide those people’s names, phone numbers, and email addresses. You confirm at import that you have permission to contact them. You are the controller of that contact data; we process it on your behalf to help you message and manage those contacts, and you are responsible for honoring their opt-outs and deletion requests.

Automatically

  • Anonymous usage metrics via Vercel Web Analytics and Speed Insights. These do not use cookies and do not identify individuals.
  • Product-usage milestones tied to your account (for example, signup, setup steps completed, first message sent) and aggregate delivery metrics, which we use to understand and improve onboarding. This is tied to your account, not to your customers.

4. How we use it

  • To show you your leads in your dashboard.
  • To draft replies and, when you turn on auto-reply features, automatically send replies to your customers. To do this we send relevant lead details (the customer’s name, the job description, and the recent message history in that conversation) to our AI sub-processor, Anthropic (Claude). Voicemail transcripts are also sent to Anthropic to extract lead details. Per Anthropic’s commercial API terms, this content is not used to train their models. When a message to a customer is generated by AI, the first such message in a conversation includes a notice that replies may be sent by an automated assistant.
  • To send transactional email: a notification to you when a new lead is submitted, and a confirmation email to your customer.
  • If you are a Premium user, to send the SMS and email campaigns you create to your own customer contacts. You are the sender of those campaigns and are responsible for any required consent to contact each recipient (see our Terms of Service).
  • To process your subscription via Stripe.
  • To keep the Service secure (rate limiting, abuse prevention).

We do not sell your data, and we do not use your customer contact lists for our own marketing. We do not share lead data with anyone except the sub-processors listed below and anyone you choose to share it with. For example, if you generate a private team or CSR link, the person you give it to can view and respond to your active leads; you control who receives that link and can revoke it at any time by regenerating it in Settings.

5. Sub-processors we rely on

Running the Service requires sending some data to trusted third-party providers:

  • Vercel, hosting, edge network, analytics.
  • Clerk, authentication and user management.
  • Upstash (Redis via Vercel Marketplace), lead and settings storage.
  • Vercel Blob, customer photo uploads.
  • Stripe, payments and billing.
  • Anthropic, AI reply generation (Claude Haiku). Per Anthropic’s API terms, prompts and outputs are not used to train their models.
  • Resend, transactional email notifications.
  • Twilio, SMS delivery (lead alerts to tradespeople and SMS replies to customers) and, for Voicemail-to-Lead, inbound call handling and voicemail recording.
  • Deepgram, transcription of voicemail recordings into text.

Voicemails left on a user’s business number are recorded and stored by Twilio, may be transcribed by Deepgram, and may be summarized by Anthropic to create a lead.

6. SMS communications

If you choose to receive SMS notifications from Local Lead Closer (by enabling SMS alerts in your account Settings and providing your mobile number, or by submitting a tradesperson’s public lead form), the following terms apply:

  • Opt-in: Tradespeople opt in by enabling SMS alerts in the Notifications section of Settings and saving their mobile number. Customers opt in by submitting a tradesperson’s public lead form, which clearly discloses that submission may result in an SMS reply.
  • Message frequency: Frequency varies based on your activity. Tradespeople may receive one SMS per new lead submitted to their form. Customers may receive one or more SMS replies per inquiry they submit.
  • Message and data rates may apply. Standard messaging rates from your mobile carrier may apply to messages you send or receive. Local Lead Closer does not charge you for SMS.
  • Opt-out: You can opt out of SMS at any time by replying STOP to any message, or by clearing your saved phone number in Settings → Notifications.
  • Help: For help, reply HELP to any message or email noahrueter@gmail.com.
  • No sharing of mobile numbers or SMS opt-in data: We do not share, sell, or rent mobile phone numbers or SMS opt-in data with any third parties or affiliates for marketing or promotional purposes. Mobile numbers are disclosed only to (a) Twilio, our SMS sub-processor, for the technical purpose of delivering messages, and (b) the tradesperson whose form a customer submitted (so they can follow up).
  • Carrier liability: Mobile carriers are not liable for delayed or undelivered messages.

7. How long we keep data

We keep your leads and account data for as long as your account is active. If you delete a lead, it’s removed from our storage immediately. If you close your account, we delete your account data and leads within 30 days, except for limited records (e.g., billing) we’re required to retain for tax and accounting purposes.

When you send an email campaign, a browser-viewable copy of each message is stored for up to 30 days so recipients can open it in a browser, then automatically deleted. SMS and email opt-outs are retained indefinitely on a suppression list so we don’t contact someone who has unsubscribed. Voicemail recordings are retained by Twilio according to your number’s settings.

8. Your rights

You can view and edit your account data, leads, and settings from within the app. To export your data or request deletion of your entire account, email noahrueter@gmail.com from the address on your account. Depending on where you live, you may have additional rights (e.g., under GDPR or CCPA) such as the right to access, correct, port, or restrict our processing of your personal data.

California residents (CCPA/CPRA): We do not sell or share your personal information, or your customers’ personal information, as those terms are defined under the California Consumer Privacy Act. We have not done so in the past 12 months. You may exercise your access and deletion rights by emailing the address above, and we will not discriminate against you for doing so.

If you are one of our users’ customers and want a lead removed, please contact the tradesperson who runs the form you submitted. They control that data directly.

9. Security

All traffic is served over HTTPS. Passwords are hashed by Clerk. Lead data is stored in Upstash Redis behind authenticated API calls keyed to your Clerk user ID. We rate-limit public endpoints to discourage abuse. No system is perfectly secure, if you spot something off, please email us.

10. Children

The Service is not directed to children under 18. We do not knowingly collect personal data from children.

11. International users

Local Lead Closer is operated from the United States. If you use the Service from elsewhere, you understand that your data will be transferred to and processed in the U.S. and by the sub-processors listed above.

12. Changes to this policy

We may update this policy from time to time. If the changes are material, we’ll let you know by email or with an in-app notice. The “Last updated” date at the top of this page always reflects the latest version.
